This policy explains how FLY LIKE EAGLES LTD (“we”, “us”), a company registered in Scotland with its office at 300 Bath Street, Glasgow G2 4JR, collects and uses your personal data when you enquire about or book travel with us. We are the data controller for this information.
What we collect
- Contact details: name, email address, phone number, postal address.
- Booking details: travel dates, traveller names, dates of birth, passport numbers and copies, visa information, next of kin and emergency contacts.
- Special category data where you choose to provide it: dietary needs, medical conditions, mobility requirements and accessibility needs, which we use only to arrange your travel.
- Payment information, processed by our payment providers; we do not store full card numbers.
- Website data: IP address, browser type and pages visited, collected through cookies and analytics.
How we use it
- To respond to your enquiry and prepare a quote.
- To arrange and administer your booking with airlines, ground operators, accommodation providers and other suppliers, including those outside the UK.
- To meet legal and regulatory obligations, including border, immigration and financial-protection requirements.
- To contact you about your trip and, if you have agreed, to send occasional travel offers. You can opt out at any time.
Legal bases
We rely on: performance of a contract (to deliver the travel you book); legitimate interests (to run and improve our business and respond to enquiries); legal obligation (record-keeping and regulatory reporting); and consent (marketing and non-essential cookies, and any special category data you provide).
Sharing your data
We share your details only with the suppliers needed to fulfil your trip (for example airlines, hotels, safari operators, transfer companies and, where required, embassies and insurers), with our professional advisers, and with authorities where the law requires it. Some of these suppliers are located outside the UK and the European Economic Area. Where that is the case we take steps to ensure your data is protected to an equivalent standard, for example through standard contractual clauses.
How long we keep it
We keep booking records for up to seven years to meet accounting and legal requirements, and enquiry data for up to two years. Passport and visa copies are deleted once they are no longer needed for your trip.
Your rights
You have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to processing, to data portability, and to withdraw consent. To exercise any of these rights, contact us using the details below. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).
